Automatically allocates any hours worked beyond regular/ weekly hours to the appropriate overtime fields.
- Log in to your portal (e.g., yourcompany.instaff.org) as an Administrator.
- From the left-hand menu select Admin > Time Tracking.
- Click Time Clock Actions dropdown button and select Timeclock Settings.
In Advanced Overtime Classification, select the Hour-Based Method. This option automatically allocates any hours worked beyond the defined work hours to the appropriate overtime fields.
Select Calculation Mode.
Daily - Calculate overtime based on hours worked per day
Weekly - Calculate overtime based on total hours worked per week
For Daily Calculation Mode:
1. Set Regular Work Hours (Daily Baseline).
This defines the daily regular work hours. Any hours worked beyond this baseline can be allocated to overtime.
2. Set Overtime Allocation.
To use a single overtime field, set OT1 Category Hours to the maximum allowed for OT1 and set OT2 Category Hours (Hard Cap) to 0. This ensures all hours beyond the regular work schedule are allocated exclusively to Overtime Field 1. Any hours worked beyond this limit will not be counted.
To use two overtime categories, set the OT1 Category Hours to the maximum OT1 hours allowed before OT2 begins, and then set the maximum hours for OT2 Category Hours (Hard Cap). Any hours worked beyond that limit will not be counted.
3. Click Save Changes.
Sample Scenarios:
A. Regular Work Hours (Daily Baseline) = 8, OT1 Category Hours = 4, OT2 Category Hours (Hard Cap) = 0
Employee 1 worked from 9 AM to 9 PM
Here’s how it appears on the Time Tracking Report:
B. Regular Work Hours (Daily Baseline) = 8, OT1 Category Hours = 4, OT2 Category Hours (Hard Cap) = 0
Employee 1 worked from 9 AM to 11 PM

The overtime hours total 4 because that is the maximum set for OT1 Category Hours. Any hours worked beyond this limit are not counted.
C. Regular Work Hours (Daily Baseline) = 8, OT1 Category Hours = 4, OT2 Category Hours (Hard Cap) = 8
Employee 1 worked from 9:00 AM to 2:00 AM the following day.
For Weekly Calculation Mode:
1. Set Weekly Regular Hours - This sets the regular weekly work hours before overtime applies. Any hours worked beyond this baseline can be allocated to overtime.
2. Set Week Start Day - This is the day of the week when your work begins. Example: Select Sunday for a Sunday-Saturday work week, or Monday for a Monday-Sunday work week.
3. Set Overtime Allocation.
To use a single overtime field, set OT1 Category Hours to the maximum allowed for OT1 and set OT2 Category Hours (Hard Cap) to 0. This ensures all hours beyond the regular work schedule are allocated exclusively to Overtime Field 1. Any hours worked beyond this limit will not be counted.
